Outlook Terms

Following are very general terms for the Outlook program. When you are finished reading move to the link at the bottom of this page titled "BACK" to go to the "Outlook Lessons" web page.

Outlook: An Email, Calendar, Contacts and Tasks oriented program. It can be integrated within, and can integrate with programs such as Microsoft Word, Excel and PowerPoint. It allows you to send and receive communication, organize your day with the Calendar, create contacts so that you have information such as emails and phone numbers of others, and even allows you to create tasks for yourself, or others.

Inbox: The email part of the Outlook program. Control 1

Calendar: The daily scheduler of appointments area of Outlook. Control 2

Contacts: List of people, schools, businesses that you need to contact. Control 3

Tasks: Items that you need to do, or to assign to others to do. Control 4

Email: A form that you send to another person or group of people with a message. The form contains an edit box for the email address, a subject edit box where you type a few words concerning the content of the email, and a body edit box where you type the actual email--remember to keep an email fairly short. You can attached items to an email such as a document, spreadsheet, picture and even a smaller audio file. Control n when in the Inbox area of Outlook.

Email Address: An address to another person's email. For example, "joesmith@blank.com

"To" edit box on the email form: This is where you type the email address of the person you are sending the email to. For example, "joesmith@blank.com

Reply: A reply you send to an open email from another person. Control r on a closed or open email.

Send: To send an email that you have written. Alt s in the open email form.

Save and Close: So save items such as a Calendar Appointment, Contact, or Task. Alt s

Address Book: A list of contacts. Control Shift b

Folders: A unique place where you can move emails and tasks.

Move to a Folder: Control y

Create a Folder: Control Shift e

Copy an Item to a Folder: Control Shift y

Move an Item to a Folder: Control Shift v

Delete: Removing an item such as an email, appointment, contact or task. Hit the Delete key (bottom left key on 6-Pac) to remove the item.

Spell Check: Spell check the text of an email, appointment or task. F7

Ribbon: Area specific to the area of Outlook you are in such as the Inbox, Calendar, Contacts, or Tasks. A ribbon for an open area is specific to that area, with tabs and many options for what your are doing. Alt key, right arrow key, down arrow key, Tab key sequence.
